Online Check-in - How to connect to Alloggiati Web
In Italy, all accommodation providers must report guest information to the local police within 24 hours of arrival. Holidu's online check-in feature integrated with Alloggiati Web helps you meet these legal requirements efficiently and automatically.
Understanding Italy's Guest Registration Requirements
Under Article 109 of the Consolidated Law on Public Security, all holiday rental hosts in Italy are legally required to collect and submit guest information electronically via the Alloggiati Web portal, managed by the Italian State Police.
What Information Must Be Collected?
For the main guest, you must collect and report:
- Full name
- Date of birth
- Nationality
- Passport or ID number
- Date of arrival
- Place of birth
Additional guests must provide basic personal information (full name, date of birth, and nationality), but document numbers are not required for them.
Important Compliance Notes
Failure to report guest information may result in penalties, including fines or imprisonment. You must verify guest identification in person at check-in. Only one guest per booking needs to provide their identification document type and number, while other guests provide basic personal details only.
How Holidu Supports Your Compliance
Holidu's integrated guest check-in feature automates data collection and simplifies reporting to Alloggiati Web. The system helps you meet legal requirements with minimal manual work by:
- Automating guest data collection through a pre-arrival check-in link
- Notifying you of any missing required information
- Enabling data transfer to Alloggiati Web with automatic formatting
- Reducing manual entry errors and administrative burden
Step-by-Step: Connect Your Property to Alloggiati Web
Prerequisites
This process must be completed on a computer or laptop. The Alloggiati Web platform may not display all options correctly on mobile devices or tablets. If using the Holidu mobile app, ensure you have the latest version installed.
Connection Steps
Step 1: Navigate to Online Check-in Settings
In your Holidu account, go to Tools and select Online check-in from the menu.
Step 2: Select Your Property
You will see a list of your properties. Find the property you wish to connect to Alloggiati Web and click Configure next to it.
Step 3: Choose Automatic Sending Option
In the configuration form, select "Activate automatic sending to an authority." From the dropdown menu, choose Alloggiati Web as your authority.
Step 4: Enter Your Alloggiati Web Credentials
You will need to enter:
- Your Alloggiati Web username
- Your Alloggiati Web password
- Your Web Service key
Step 5: Validate Your Credentials
Click the "Validate" button to verify your credentials are correct. Holidu will test the connection to Alloggiati Web.
Step 6: Save Your Changes
Click "Save changes" at the bottom of the form. If no error message appears, your property is now successfully connected to Alloggiati Web.
Step 7: Confirm Active Connection
Close the configuration form. Your property connection status should now show as active.
Finding Your Alloggiati Web Credentials
To connect Holidu to Alloggiati Web, you need your Web Service key from your Alloggiati Web account.
How to Retrieve Your Web Service Key
Step 1: Access Your Alloggiati Web Account
Log into your Alloggiati Web account on a computer.
Step 2: Open Account Settings
Click on your account name located in the top right corner of the page.
Step 3: Select Web Service Key
From the dropdown menu, select "Chiave Web service" (Web Service Key).
Step 4: Copy or Generate Your Key
If you already have an existing code, copy and paste it into the Holidu configuration form. If you do not have a key yet, click "Genera Nuovo Codice" to generate a new one, then copy the new key.
Important Security Notes
You can only generate one new Web Service key per day to protect your account security. Every time you change your password on Alloggiati Web, you must also update the Web Service key in your Holidu settings to maintain the active connection.
For additional reference, consult the Alloggiati Web Manual (page 28).
Understanding Data Transmission Timing
Once your property is connected to Alloggiati Web, guest information is transmitted automatically according to the following schedule:
- For one-night stays: Data is transmitted at 11:00 PM on the check-in date
- For stays of two nights or more: Data is transmitted at 11:00 PM on the day after check-in
This timing ensures compliance with Italian regulations while minimizing disruption to your check-in process.
Guest Information and Guestbook Records
Your guestbook will display complete document information for the main guest only, as per Italian legal requirements. Document fields for additional guests will appear empty, since only the primary guest's identification number is mandated by law.
You can download guestbooks for your records at any time through the Holidu platform.
Troubleshooting Your Connection
Connection Validation Failed
If you receive an error message during validation, verify that:
- Your Alloggiati Web username and password are entered correctly
- Your Web Service key is current and valid
- You have not exceeded the daily limit for generating new Web Service keys
- Your Alloggiati Web account is in good standing
Password Changes
After changing your Alloggiati Web password, remember to generate a new Web Service key and update it in Holidu to maintain the active connection.
