Managing collaborators on your property is essential for smooth operations. Whether you're working with cleaners, co-hosts, property managers, or other team members, understanding how to assign the right permissions ensures everyone has access to exactly what they need—no more, no less.

Understanding Collaborator Types

Different team members require different levels of access to your property information. The platform supports various collaborator types, each with specific permissions that control what data they can view and edit.

Primary Collaborator (Editor)

The primary collaborator has complete access to all property data and operations. This account holds the highest level of permissions and is legally linked to your property agreement.

A primary collaborator can:

  • Access the full calendar including booked, blocked, and available dates with price details
  • View and manage all bookings with complete guest details, price breakdowns, and payment status
  • Access financial information including invoices, payouts, and payment details
  • View and edit all property configuration settings
  • See all guest reviews
  • Manage all other collaborators on the property
  • Receive all notifications via email and push

Only the primary collaborator can access payout details and invoices. This protected access ensures financial security and compliance with your property agreement.

Permission-Based Collaborator Access

When adding collaborators beyond the primary editor, you can grant specific permissions based on their role. Each permission controls access to different areas of your property management system.

Property Configuration Permission

Grant this permission to collaborators who need to manage your property's information and settings, such as property managers or assistants handling administrative tasks.

Collaborators with this permission can:

  • View and edit property descriptions and titles
  • Upload, delete, and reorder property photos
  • Manage amenities and facilities information
  • Update room and unit information
  • Configure pricing and seasonal rates
  • Set additional fees
  • Provide arrival and check-in instructions
  • Set up calendar sync using iCal import and export

They cannot access bookings, guest information, financial data, distribution channels, or collaborator management settings. Property location is read-only once the property is published.

Viewing and Creating Bookings Permission

This permission is ideal for co-hosts, assistants, or anyone who needs to manage your bookings and calendar availability. They'll have comprehensive access to booking details and the ability to make changes.

Collaborators with this permission can:

  • View full booking details including guest names, emails, phone numbers, and addresses
  • See complete price breakdowns, payout amounts, and commission details
  • Access booking history and modification records
  • View channel information and booking sources
  • Create manual bookings
  • Modify existing manual bookings
  • Cancel bookings
  • Update guest information on bookings
  • View blocked dates with associated comments and notes
  • Create, edit, and delete blocked dates

They cannot modify property settings, pricing configuration, or manage distribution channels. Note that to see the calendar view, you should also grant the "See availability" permission.

See Availability Permission

This read-only calendar permission is perfect for cleaners, maintenance staff, or anyone who needs to know when the property is occupied without accessing sensitive information.

Collaborators with this permission can:

  • View booking dates showing check-in and check-out times
  • See the number of guests including adults, children, and babies
  • View booking status such as confirmed or canceled
  • Access booking IDs
  • See which dates are available and view blocked date ranges
  • Access the property in the system

They cannot see guest names, contact information, prices, financial data, or channel information. This permission does not allow editing or blocking dates.

Distribution and Publication Permission

Assign this permission to collaborators responsible for managing your property's presence across multiple booking channels.

Collaborators with this permission can:

  • View connected distribution channels and their connection status
  • Monitor sub-channel status
  • View cancellation policies and channel-specific pricing
  • Activate new distribution channels such as Airbnb and Booking.com
  • Deactivate existing channels
  • Enable or disable sub-channels
  • Configure channel-specific settings and cancellation policies

They cannot access property settings, bookings, calendar information, guest data, or financial information.

Mark as Secondary

This checkbox allows a collaborator to receive email and push notifications about bookings on your property. Only one account per property can be marked as secondary.

Important: Marking someone as secondary only controls notifications. It does not grant access to view or edit any data. To give them actual access to your property, you must also select one or more of the other permission options.

Common Setup Recommendations

Cleaner or Maintenance Person

Grant the "See availability" permission only. They can view when the property is occupied or available but cannot see guest details or pricing information. This setup protects guest privacy while giving them the information they need to schedule work.

Co-host or Assistant

Grant "See availability" combined with "Viewing and creating bookings." This allows them to view the calendar and access full booking details including guest names and contact information. They can manage bookings and keep everything running smoothly while you handle other aspects of your business.

Booking Notification Recipient

Mark the collaborator as secondary. This sends them email and push notifications about new bookings without granting any system access. If they also need to view data, add additional permissions as needed.

Property Settings Manager

Grant the "Property configuration" permission. They can edit property information, amenities, photos, and pricing but cannot view bookings or calendar information.

Professional Property Manager

If you work with a professional property management company, the recommended approach is for them to create a Property Management Expert (PME) account and establish a mandate relationship with your property. This provides proper operational access designed specifically for property management businesses.

If you prefer not to use the PME structure, you can grant a property manager all permissions: property configuration, see availability, viewing and creating bookings, and distribution and publication. This gives them full operational access to manage your property. However, note that collaborators can never access the financial section containing invoices and payouts. Only the PME model allows you to grant invoice access to a property manager.

Understanding Financial Data Access

Financial information is protected and available only to the primary collaborator. No matter which permissions you grant to other collaborators, they cannot access:

  • The invoices section
  • The payouts section
  • Payment status information

Collaborators with "Viewing and creating bookings" permission can see payout amounts and commission details on individual booking records, but they cannot access the dedicated financial sections where you view and download financial documents and payout history.
